Jobscopes 

Central Executive Committee

  1. President Elect 

  • Assist the president in executing his/her obligations during the entire tenure

  • Capable of running the office with alliances of the president and manage non-urgent issues in the absence of the president (outstation)

  • Involved in understanding the management system of MDSA and work ethics of the association in all matters

  • Commence his/her role as the next President as soon as the current committee is dissolved during the AGM

Requirements

  • Able to work in MDSA for at least 3 tenures as president elect, president and immediate past president

  • Has leadership experience and willing to learn the management system of MDSA

  • Has good command in English and Bahasa Melayu

  • Willing to attend various MDSA events and affiliated associations’ meetings and events

2. Secretary

  • Maintain the general filing system, organise and file all correspondence

  • Provide professional official letters and documents needed for event and networking

  • Provide secretarial report and meeting minutes

  • Prepare documents needed for renewal of e-ROS

  • Other secretarial duties and assistance as needed by the president.

Requirements

  • Has good command in English and Bahasa Melayu

  • Familiar with Microsoft Word, Google docs and sheets, or is willing to learn and adapt accordingly

  • Preferably based in Klang Valley area

3. Assistant Secretary 

  • Assist the secretary in executing his/her obligations

  • Write and proofread documents/posts prior to release and publications

  • Other secretarial duties and assistance as needed by the president.

Requirements

  • Has good command in English and Bahasa Melayu

  • Ability to proofread documents within manageable time

4. Treasurer

  • Oversee the management and reporting of MDSA’s finances. This includes bank account maintenance, monitoring financial transactions, budget planning, signatories of transactions, updating the financial standing to the committees.

  • Ensure a balanced financial position at the end of each term

Requirements 

  • Has a high sense of integrity and honesty when managing the accounts and transactions

  • Experienced/have knowledge in managing bank account, budget planning, and transactions

  • Preferably based in KL

5. Assistant Treasurer

  • Assist the treasurer in executing his/her obligations

  • Collect and oversee every financial transaction together with the treasurer

  • Follow up on every treasury reports from each respective event

Requirement 

  • Have basic knowledge in managing finances and accounts or is willing to learn

6. Auditors 

  • Assess financial operations to ensure program can be carried out successfully

  • Audit and examine financial reports

  • Make sure receipts and financial recordings are genuine and accurate

  • Send the finalised financial recordings to President and Treasurer for quality control

Requirements 

  • Has a high sense of integrity and honesty when auditing the accounts and transactions

 

General Executive Committee 

6. Assistant International Liaison and Public Relations Office

  • Assist the International Liaison Officer (ILO) to liaise with local, regional, international dental students societies and associations 

  • Responsible for student exchange programs; bilateral exchange between countries 

  • Engage our society with future collaboration opportunities with international societies

  • Assist ILO in promotion of events, and meetings by IADS

  • Attend IADS meeting whenever ILO is absent and unable to attend

  • Commence the role as International Liaison and Public Relations Officer the following term.

Requirements

  • Able to approach other dental societies with confidence

  • Good social skills and maturity in making decisions

  • Flexible in solving problems faced by Local Exchange Officers

  • Willing to learn the duties of ILO and commence his/ her role as the next ILO as soon as the current committee is dissolved during the AGM

7. Sponsorship and Marketing Officer

  • Actively engage and search for sponsorships from companies and organizations

  • Follow up closely thereafter with respective sponsor companies and organizations.

  • Ensure the terms and conditions stipulated between MDSA and the sponsors are met

  • To compile a report at the end of the term for documentation and for sponsors viewing

  • Prepare content of the sponsorship booklets to approach sponsors

Requirements

  • Experienced/knowledgeable in sponsorship matters, if not, eager to learn and improve his/her approach to sponsors 

  • Preferably based in KL

8. Multimedia and IT Officer

  • Responsible in maintaining and updating the official MDSA website, Linktree and all related social media including Facebook, Instagram,Youtube Channel with relevant information, approved designs and event matters

  • Responsible for the technical team during MDSA events 

  • Advise and work with the team in producing videos for MDSA when necessary including promotional videos or events 

  • Able to use video editing software with proficiency such as Adobe After Effects, Capcut, Canva or Filmora

Requirements 

  • Ability to use Video Editing softwares with proficiency (preferable) 

  • Familiar/eager to learn the designing and management of a website

  • Willing to attend various MDSA events 

  • Knows how to make engaging instagram and facebook stories

  • Owns multimedia equipment eg. Tripod/ Camera (preferable) 

9. Academic and Research Officer 

  • Responsible for the column “Interview with Experts” & future projects i.e. “Bite-Sized Learning with MDSA” “CBL with Experts”. This includes leading the team in arranging interviews with various experts and editing videos.

  • Liaison personnel between MDSA and MDA in coordinating events such as MIDEC & SCATE Mentorship Programme with the dental students in Malaysia

  • Responsible for managing and liaising together with the President with regards to local and international research initiatives and opportunities that can be offered to dental students in Malaysia.

Requirements

  • Proficient in English 

  • Able to attend SCATE and MIDEC

  • Have basic knowledge in video editing

10. Events and Planning Officers

  • Coordinate all MDSA events with the oversight of the President

  • Spearhead the events, form and lead the Local Organizing Committee of each event

  • Advise Local Organizing Committee on the organization of events, seminars, itinerary, accommodations, promotions, sponsorships, secretariat works

  • Collect post-event secretarial and treasury report

Requirement

  • Versatile in ideas and handling situations during any event 

11. Welfare and Advocacy Officer 

  • Demonstrate initiative to promote the welfare of MDSA Privileged Members (PM)

  • Responsible for the privileged members system including PM benefits, PM discounts, PM Membership Status, PM point system, neat organization system of PM from each university

  • Represent the interests of MDSA members in legislative and regulatory issue along with the President 

Requirement

  • Familiar with Microsoft Excel spreadsheets/ Google sheets or other documentation applications

  • Able to work efficiently during the registration of any event 

12. Chief Editor 

  • Responsible for the designs and creations of all MDSA publications, banners, posters, photos, etc throughout the entire tenure

  • Responsible for the production of the annual MDSA newsletter

Requirements

  • Ability to use photo editing software such as Adobe Illustrator, Adobe Photoshop, etc

  • Ability to work within rational given time

GENERAL RULES & REGULATIONS

1. Membership

1.1.Upon verification, only members who are enrolled in full-time undergraduate dental course are allowed to run for any committee position in the MDSA during the AGM.

1.2. Non-Malaysian dental students studying in Malaysian Dental School are allowed to run and hold non-Central Executive Committee positions ONLY.

1.3 Malaysian dental students who are studying in foreign dental schools ARE NOT allowed to run or hold any position in MDSA.

1.4 Eligibility for MDSA Committee

a. Candidates running for the Central Executive Committee (CEC) and General Executive Committee (GEC) positions must have no less than one year of remaining studies except the position of President-elect and Assistant liaison and public relation which must have no less than two years of studies.

b. Candidates for President-elect must have served one full term on the MDSA Committee, before being appointed as the next term's president, hence the requirement of having no less than two years of studies.

c. The Immediate Past President shall not be elected. They will be appointed for the term of one year at the end of their term as President.

d. No more than three committees (CEC and GEC) shall come from the same dental school. In situation where three committees from the same school have been elected to positions, the fourth candidate automatically loses his candidacy.

2. Committee

The MDSA Committee consists of three subgroups: Central Executive Committee, General Executive Committee and Appointed Executive Committee.

2.1 Central Executive Committee consists of President-elect, Secretary, Assistant Secretary, Treasurer, Assistant Treasurer and Auditors.

2.2 General Executive Committee consists of Assistant International and Public Relation Officer, Sponsorship and Marketing Officer, Multimedia and IT Officer, Academic and Research Officer, Events and Planning Officers, Welfare and Advocacy Officer, and Chief Editor.
